How Westside Little League collects, uses, and protects your information. Last updated: July 2026.

Westside Little League ("WSLL," "we," "us," or "our") is a volunteer-run youth sports organization chartered by Little League International. We operate baseball and softball programs for children in west Fort Worth, Texas. This Privacy Policy describes how we collect, use, share, and protect personal information — including information about children under 13 — in compliance with the Children's Online Privacy Protection Act (COPPA, 15 U.S.C. § 6501–6506; 16 CFR Part 312).

2. Information We Collect

We collect only the information reasonably necessary to run our baseball and softball programs. All information about children under 13 is collected with verifiable parental consent through our registration process, which requires a parent or legal guardian to create an account and submit the registration on behalf of their child.

  • Gender
  • Current school
  • Jersey size
  • Years of playing experience, division/team preferences

Parent / Guardian Information

  • Full name, email address, and phone number
  • Home address

Medical Information

Allergy and medical condition information is collected solely for player safety purposes and is shared only with team coaches and league safety personnel on a need-to-know basis.

Financial Information

Registration fees are processed by our payment processor, Stripe. Card numbers and other sensitive payment details are entered directly with Stripe and are never stored on our own servers or database.

Volunteer and Coach Information

Head Coach and Assistant Coach volunteers provide additional information as part of our volunteer application, including legal name, date of birth, gender, home address, a copy of a government-issued ID, and responses to background-eligibility questions required by Little League International. Background checks are processed through JDP, a third-party background check provider, as part of the Little League Volunteer Application process.

3. How We Use Your Information

  • Registration — processing player sign-ups and verifying age/division eligibility
  • Team assignment — placing players on teams and rosters by age, division, and skill level
  • Communication — sending season updates, schedules, and league announcements to parents and guardians
  • Emergency response — providing coaches and safety personnel with medical and contact information in case of injury or emergency
  • Compliance — meeting Little League International charter requirements, including age verification and roster reporting
  • Financial administration — processing registration fees and managing financial assistance requests
  • Volunteer safeguarding — conducting background checks on Head Coach and Assistant Coach volunteers as required by Little League International

4. Third-Party Service Providers

We share personal information only with service providers necessary to operate our league. We do not sell, rent, or share personal information for advertising, marketing, or any commercial purpose unrelated to league operations.

Each provider processes data in accordance with their own privacy policies and applicable law. We require that all service providers handle personal information consistent with this policy and COPPA requirements.

5. Data Retention

The retention periods below reflect our current practice. Data is retained only as long as reasonably necessary for league operations, safety, and legal compliance, and is deleted after the applicable period following the end of the relevant season.

6. Parental Rights Under COPPA

Parents and legal guardians of children under 13 have the following rights:

  • Review — you may review the personal information we have collected about your child
  • Correction — you may request that we correct inaccurate information about your child
  • Deletion — you may request that we delete your child's personal information, subject to any legal retention requirements
  • Refuse further collection — you may direct us to stop collecting additional information about your child, though this may affect your child's ability to participate in league activities

To exercise any of these rights, email us at registration@fwwestside.com. We will verify your identity as the child's parent or legal guardian before processing any request.

7. Data Security

  • Encryption in transit — all data transmitted between your browser and our servers is encrypted using HTTPS/TLS
  • Role-based access — access to personal information is restricted to authorized board members and coaches based on their role
  • Secure session management — authentication is handled through Supabase, using secure, httpOnly session cookies

No method of electronic storage or transmission is 100% secure. While we take reasonable steps to protect personal information, we cannot guarantee absolute security.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we do, we will update the "Last updated" date at the top of this page. If we make material changes to how we collect, use, or share children's personal information, we will notify parents and guardians by email before the changes take effect.
